Step-by-Step: Creating a CP12 in GasVault
Open the CP12 form
From the dashboard, tap the CP12 button. A new form opens with today's date and an auto-generated certificate number (e.g. CP12-0047). The number increments automatically — you never have to track it manually.
Select the client and property
Tap the search field at the top. Your client database opens — search by name, address or postcode. Select the property. GasVault instantly fills in the client name, billing address, and any appliances saved from the last visit. You're not starting from scratch.
Confirm or update appliances
If appliances were saved from a previous CP12, a confirmation card appears showing what was on file — make, model, GC number, location. You review and update. If it's a first visit, you enter the appliances manually. GasVault remembers them for next time.
Complete each appliance
For each appliance: set whether it was inspected, then fill in the FGA readings, flue checks, safety device results and whether it's a landlord appliance. The Pass/Fail outcome is set with a single tap. If there are defects, tap the Defect Picker to pull from a library of standard Gas Safe defect descriptions — or speak it using the microphone.
Complete the installation checks
Set ECV accessible, gas tightness result, earth bonding and CO alarm status with three-way buttons (Yes / No / N/A). Add any installation defects in the text field.
Generate and send
Tap Generate CP12. The PDF is created on your phone in seconds — no internet required for this step. An alert gives you the option to email it directly to the client, share via WhatsApp, or save to device. The landlord gets a professional PDF that matches the Gas Safe standard format.
Useful Features Worth Knowing
Call the landlord from inside the form
At the top of the CP12 form is a green Call button that dials the client's phone number directly. Useful when you arrive and need to confirm access, or when something unexpected comes up during the inspection.
Defect Picker with regulation references
The built-in defect library contains standard descriptions used across the industry, each optionally including the relevant Gas Safety regulation. This keeps your wording consistent and professional across every certificate you issue.
Speech input on every field
Every text field in the CP12 form has a microphone button. Tap it and speak — GasVault transcribes and appends to the field. Useful for defect descriptions when your hands are dirty or you're working in a tight space.

The Certificate Number System
GasVault automatically tracks your certificate numbers. Your first certificate is CP12-0001, the next is CP12-0002, and so on — incrementing only when a certificate is finalised, not when a draft is saved. You can customise the numbering prefix and starting number in your profile settings.
Saving Drafts
If you need to pause mid-inspection, tap Save Draft. The form saves to the cloud and to your device. It appears in your History screen where you can reopen and continue from exactly where you left off. If you navigate away without saving, GasVault warns you first.
